Next Level Sports Ltd – Holiday Camps Terms and Conditions

1. Introduction

These Terms and Conditions govern bookings for services provided by Next Level Sports Ltd, including holiday clubs, after-school activities, and school-based programmes for children aged 4–11. By booking with us, you agree to these terms.

2. Bookings and Payments

Booking Process: All bookings should be made through our official booking system, ClassForKids, accessible via our website or Facebook page.

Payment Methods: We accept payments via credit/debit card through the booking system. Please note that we currently do not accept childcare vouchers.

Payment Terms: Full payment is required at the time of booking to secure your child's place. Bookings are only confirmed upon receipt of full payment. If you are unable to make payment prior to the session, please contact us directly at info.nextlevelsports@gmail.com or call 07398 215354

Platform Fee: Payments made through ClassForKids will incur an additional platform fee (currently 4%), which is paid directly to the booking system. The platform fee percentage is subject to change at the discretion of ClassForKids.

Outstanding Payments: In the event of outstanding payments after your child has attended camp, the debt will be passed to a recovery agency.

3. Offers and Discounts

This offer is subject to change and availability.

4. Changing Your Booking

Date Changes: You may change your booking dates within the same season (e.g., summer), subject to availability, provided you do so more than 7 days before the first camp date. Changes within 7 days are not permitted.

Splitting Bookings: If you choose to split a full-week multi-activity booking across different weeks, the prevailing daily rate will apply, and the full-week discount will not be offered.

Price Adjustments: When moving days, if the current day price is greater than the original price paid (e.g., if you originally booked at a discounted rate), you will be charged the difference. Additional days can be added to your booking at the current price.

5. Cancellations and Refunds

We understand that circumstances can change. Our cancellation policy is designed to be fair and transparent:

• Cancellations made 7 days prior to the scheduled activity: You will receive a full credit, provided as a code, which can be used for future bookings.

• Cancellations made within 48 hours of the scheduled activity: You will not receive a refund of any type

• Illness or Injury: In the case of illness or injury preventing attendance, we will provide a full refund. We reserve the right to request a doctor's note or medical report before issuing a refund. Please allow up to 10 working days for processing.

• Refund Process: Refunds for online payments are processed through the ClassForKids system. Please note that Stripe retains their processing fee (currently 1.4% + 20p) for both the original payment and the refund.

6. Policies and Procedures

7. Camp Times and Extended Care

• Camp Hours: Camp times are specified in the details of each camp and may vary.

• Late Drop-Off/Early Collection: We accommodate late drop-offs and early collections due to appointments or other commitments. Please inform us in advance by calling or texting 07398 215354 with full details. For early collections, please notify the camp lead during morning registration.

8. Child Information

It is the responsibility of the person making the booking to ensure that all details provided are accurate, including full information about each child, such as medical conditions, special educational needs, and emergency contact information. If we do not have all this information before camp starts, your child will not be allowed to attend.

9. Camp Eligibility

• Age Range: Our camps are open to children aged 5 to 11, in accordance with OFSTED regulations.

• School Attendance: During certain periods, attendance may be restricted to children who currently attend the hosting school, in line with government guidelines.

10. Special Requirements

We strive to accommodate children with specific needs and/or medical conditions within the camp environment. It is our policy not to exclude any child due to specific needs and/or medical conditions wherever possible.

• Medical Administration: If your child requires medication to be administered during camp, please indicate this on your booking details and review our administering medicine policy on our website.

• Staffing Ratios: Our staff-to-child ratios are 1:16 for 5–7-year-olds and 1:20 for 8 years and over, irrespective of any specific needs or medical conditions. If we determine that a child is not coping within these ratios, we reserve the right to ask the parent/carer to collect their child. No refund will be available.

• One-to-One Support: We do not provide one-to-one support. If required, this must be arranged directly by the parent and school. We may accommodate a child with specific needs on a paid trial basis and reserve the right to review further bookings.

11. Illness and First Aid

• Illness Policy: Children who are ill or infectious must be kept home for the full duration of their illness and for 48 hours after the last symptom occurs.

• First Aid: In the event of an accident, first aid will be administered, and emergency services will be called if necessary. Essential prescribed medication, including EpiPens and inhalers, must be handed to the camp coach during registration. Our first aid policy is available on our website.

12. Child Exclusions

We have a responsibility to ensure the well-being and safety of all children in our care and have approved procedures for managing behaviour. We follow a zero-tolerance policy on discrimination, bullying, and persistent poor behaviour of any kind, irrespective of any special needs.

• Exclusion Rights: We reserve the right to ask parents to remove children from camp for the remainder of the day or season in serious cases. No refund will be made for any remaining days booked, and any costs associated with the exclusion will be the parents’ responsibility.

• Illness Exclusion: We reserve the right to exclude a child at any time prior to or during a session due to illness. The parent/carer will be expected to collect their child promptly.

13. Late Pick-Up

All children must be collected by the stated camp end time. If you are unable to collect by this time, please call the Camp Manager or as soon as possible. Two members of staff will wait with your child until they are collected.

• Late Fee: A late pick-up fee of £10 for every 15 minutes after the stated end time will be charged to cover additional staffing costs.

• Uncollected Children: If we have no contact from a parent/guardian by 30 minutes after the camp end time, we will contact Social Services to advise them of an uncollected child. We reserve the right to refuse future bookings from parents who constantly pick up late.

14. Personal Property

All personal property is the responsibility of the child and their parent/carer. We are not liable for any lost or damaged property on camp. If you believe your child has left an item at camp, please contact the Camp Leader or 07398 215354. Lost property should be collected before the last day. Unclaimed items will be placed in the school’s lost property, and it is the school's/site manager's decision how long it remains there before being given to charity or discarded.

15. Mobile Phones and Electronic Devices

All mobile phones and electronic devices are prohibited on camp. If your child needs to bring a mobile phone, please inform us before the camp start date by calling 07398 215354 The device must be handed to the lead coach during registration and will be securely stored. It will be returned to the authorised parent/carer at the end of the session. For more information, please refer to our Mobile Phone Policy on our website.

16. Insurance

All children in our care are covered by our Public Liability Insurance. We are insured to deliver all the sports listed on the booking flyer/PDF or website.

17. Photography and Filming

We occasionally take photographs and video footage of children on camp for promotional purposes. If you do not wish your child to be included, please indicate this during the online booking process. We will only photograph or film children who have given consent. Our Photography Policy is available on our website.

18. Parent Feedback and Complaints

We value your feedback and use it to develop and improve our services.

• Positive Feedback: If you have positive feedback, please share it on our Facebook, Instagram, or Google pages. If you are happy for us to share your comments further, please email us at info.nextlevelsports@gmail.com.

• Concerns or Complaints: If you have concerns or suggestions, please raise them with your child’s Camp Lead Coach. If unresolved, contact us at 07398 215354. Our Complaints Procedure is available on our website.

19. Safeguarding

Next Level Sports Ltd has legal obligations in relation to safeguarding and any suggestion of child abuse or neglect will be investigated and reported to our regulator, Ofsted, or relevant local authorities and agencies. Classforkids (Next Level Sports Ltd booking system) is registered as a Data Controller under the Data Protection Act 1998. To process your booking, we need to collect personal details about you and your children. We will treat it as confidential and keep it secure, complying with all relevant UK legislation. We will use your email address and telephone number to contact you with information that relates to any bookings that you make and any information that we might need that relates to the welfare of your child. We would also like to use some of your details to tell you about our products and services, and those of our parent/sister organisations and will ask for your consent during the registration/booking process.
